Step 5: Fields to Be Read from Barcode Labels

The Scoring Center uses student data from three potential sources:

      Data bubbled-in on paper answer documents by students prior to testing (student identification)

      Building and Grade/Class header sheets grouping those paper documents (locations)

      Fields completed in the barcode data file and uploaded during barcode ordering (see Step 7)

Typically, student data files are created well in advance of a test event; while their data may be uniform, valid, and complete, information may be outdated by the time the test is administered to students. This is particularly true for locations, which can change in the first months of a school year.

Step 5: Fields to Be Read from Barcode Labels allows you to choose, for each field, the source of the data. When you click a check box to select a field, the Scoring Center takes the data for that field from the barcode data file (see preparing data). Fields that are not checked scan the data from values bubbled-in on answer documents prepared at the test site and from the ordering of the paper answer documents into classes and buildings by the test coordinator.

Tip: For fields that may change, in particular location fields such as Building Name and Class Name, leave the boxes unchecked to use the data from the Building and Grade/Class header sheets. For fields with static data and error-prone entries, such as Student ID numbers, check the box for that field on this form to use the data from the uploaded barcode data file.

IMPORTANT: Fields that you source from the barcode data file must contain data. If you check a box and that field does not contain data in the uploaded file, that field will not scan any information—and any data in that field, even if it is bubbled-in on the paper answer document, will be lost.

To designate which fields should be read from the barcode data file:

1.    Click the check boxes beside the fields you want to use from the data file.

Reminder: These fields must contain values in the data file.

These fields will take the information from the file when input by the Scoring Center for scoring and reporting. Unchecked fields will take data from the documents prepared at the test site.
